Planning Phase
Venue research and site visits to ensure you get the venue of your dreams.
Recommend, contact and select vendors in accordance with event budget and style
Schedule and attend all vendor meetings and interviews
Attend site visit(s) with/in lieu of client
Unlimited face to face meetings, phone, text and e-mail communication with client throughout planning
Manage client budget; manage deposit schedule and payments
Review, negotiate and manage all vendor contracts
Create event decor concept and coordinate overall aesthetic and vision
Act as the liaison between client and vendors
Create complete timeline for the event
Create and circulate full planning packet for aesthetic, timeline and vendor information
Lead final all-vendor walk-through at minimum one week before the event
Provide guidance and sample text for printed materials including: save the date, invitation, ceremony program, and menu
Create/maintain complete detail/design element list
Assist in creating and distribution of save the date and invitation; i.e. format guest list, coordinate with calligrapher, selection of printer, timeline for distribution
Set up and manage hotel blocks for out-of-town guests
Schedule, book and coordinate all guest transportation to/from event (if applicable)
Assist on menu planning and attend tasting with caterer with/in lieu of client
Source and order items and packaging for favors and welcome gifts bags
Provide and maintain spreadsheet templates for the following: guest list, RSVP’s, seating plan, photo shot list, payment schedules and music list
Prior to the event
Attend final meeting with client
Coordinate drop off/collection of complete detail/design elements for the day
Confirm all details and timeline for vendors
Provide schedule for bridal party and VIP guests
Coordinate all printed materials
Coordinate and execute rehearsal
on the day
Coordinate all aspects of wedding ceremony, reception and after party (if applicable)
Oversee all vendors (deliveries, installation, execution of services)
Assist catering in executing detailed reception timeline
Coordinate distribution of final payments and gratuities
Manage and coordinate transportation for family and guests
Provide event emergency kit (including sewing kit, stain remover, etc)
Provide and place restroom amenities basket
Organize and set up escort cards, place cards and menu cards
Oversee timely “flip” of room from ceremony to reception (if applicable)
Confirm final seating and table check prior to guests arrival at reception
Ceremony and music cues throughout ceremony and reception
Cue wedding timeline for cake cutting, toasts and dancing
Serve as point person for all vendors
Manage and remedy all moment-to-moment challenges
Arrange favors (if applicable)
Collect any celebration elements and gifts and return to proper hotel location
Point of contact for clean out of all vendors and exit walk through with venue
